In this module you manage the quick counter sales made with a cash register, that is, the documents (receipts) of In-store sale. An in-store sale records what the customer bought and how they paid: you put the products in the basket, after payment the system issues a receipt, and the receipts go into the turnover of the cash day. This guide presents the list of sales: how to search among them, what you can do with the selected sale and what you see in the preview panel. New sales are not recorded here but on the separate sales screen.
The possible statuses of in-store sales are: Draft, Closed, Cancellation, Cancelled. A Draft can still be edited and a Closed document is final; a faulty closed document has to be cancelled, in which case the original document becomes Cancelled and the correcting document gets Cancellation status.
Clicking the Main menu / Sales / In-store sale / List menu item shows all in-store sales. Above the table, the Actions tab gives you the buttons for working with the selected sale (some of them are only active for a document in the appropriate status):
At the right end of the tab row, the Analytics link takes you to the statistics page of in-store sales, and the clipboard icon copies the contents of the table to the clipboard. A summary row at the bottom of the table shows the totals of the list, and below it you see the pagination (for example 1 - 10 / 856).
On the Search tab the most commonly used filters (partner company name, document number, currency, status, sites, employee, sales representative, payment method) are shown right away. Clicking “Expand” opens further filters: search by Document date and Performance date (from - to), the Settled and Used state, the Part number and the Cash register. Use the Search button to apply the conditions.
Select a sale, then open the Download drop-down menu, which has two blocks. The List operation block (XLSX list, XLSX item list) exports the entire filtered list to a spreadsheet, so you can also process the in-store turnover in Excel. The Document operation block applies to the selected sale: XLSX items and XLSX serial number list save the items, PDF saves the document, and QR code (Sam4s) generates the QR code intended for the Sam4s cash register.
The View and layout tab lets you set how the list is displayed to you:
These settings are saved per user, so they are kept the next time you log in as well.
The panel shown below the list lets you quickly check the details of a selected sale without having to open it. The panel contains several tabs:
The panel can be pinned (fixed to a set size) using the icon in its top-right corner, and its size can be adjusted by dragging the divider line at the top of the panel.
The Additional functions tab offers extra options for the selected sale that support your daily work:
Right-clicking a sale row gives you the most common quick actions (New, Open, Close, Delete, Copy) from a context menu — this menu is shorter than the full set of the Actions tab.
If a customer asks for an invoice afterwards for an already issued receipt, do not record the sale again: select the closed sale and choose invoicing from the Document management menu — the system carries the items over. For the end-of-day settlement, you find the daily turnover under Main menu / Sales / In-store sale / Cash register machine history.
The filter fields of the list (on the Search tab) and their meaning. All filters are optional:
| Field / Element | Required | Description |
|---|---|---|
| Partner company name | The name of the customer you filter for. For a counter sale made without a partner this field can be empty. | |
| Document number | The serial number of the receipt (for example PZT000283/2026), in full or in part. | |
| Currency | The currency of the document. | |
| Status | Draft, Closed, Cancellation or Cancelled. | |
| Sites | The site that issued the sale. | |
| Employee | The employee who issued the document. | |
| Sales representative | The sales representative assigned to the sale. | |
| Payment method | For example cash or bank card. | |
| Document date, Performance date | A date range (from - to) by the day of issue or the day of performance (under the Expand button). | |
| Settled, Used | Filtering by whether the document has been settled or used. | |
| Part number | The sales on which the given product appears. | |
| Cash register | The cash register on which the sale took place. |
The default columns of the table (they can be changed on the View and layout tab):
| Column | Description |
|---|---|
| Document number | The serial number of the receipt from the document series. |
| PG Document number | The own document number of the cash register machine, if the sale was also sent to the cash register. |
| Document date | The date and time the document was issued. |
| Partner company name | The name of the customer. |
| Net value, VAT rate, Gross value | The net amount of the document, the VAT rate applied and the gross total. |
| Currency, Exchange rate | The currency of the document and the exchange rate applied. |
| Employee | The employee who issued the document. |
| Status | The status of the document. |
If you do not see a column, you can turn it on with the Columns button on the View and layout tab.
The menu item only appears if the in-store sale permission is assigned to your user and your package includes the module. If you cannot find In-store sale under Main menu / Sales, ask your system administrator to check your permissions.
The Close button is only available for a document in Draft status. If the sale is already Closed, Cancellation or Cancelled, the button is inactive. Check the status of the selected row in the Status column, and make sure you have actually selected a row in the table.
No. Closing makes the document final and it cannot be modified afterwards. If a mistake slipped into the receipt, it has to be cancelled: the original document gets Cancelled status, the correcting document gets Cancellation status, and then you can record a new, correct sale.
Select the sale in the list, then on the Actions tab choose invoicing from the Document management menu. The system creates the invoice from the items of the in-store sale. If you already know during the sale that you have to issue an invoice, you can also use the INVOICE button on the sales screen.
Filter the list for the period you need, then on the Actions tab open the Download menu and choose XLSX list (one row per document) or XLSX item list (one row per item) from the List operation block.
You can turn the preview panel on or off per tab (Items, Related documents, Location codes, Serial numbers) with the Preview window button on the View and layout tab. After saving, the setting stays bound to your user. If the panel appears but is empty, select a row in the table.
