Frequently Asked Questions

ERP concepts

Enterprise Resource Planning (ERP) is a software solution for business process management. ERP allows a company to use an integrated system of applications to manage its business processes and to automate many back-office tasks in the areas of technology, services and human resources. ERP software integrates all areas and activities of a company, including product planning, development, manufacturing, marketing and sales.
ERP can increase a company"s efficiency through the best possible planning and management of resources and by optimizing productivity. For example, workflows are used that simplify business processes, carefully monitor employee performance and evaluate the results. This creates transparent data for business owners, allowing them to recognize which processes are the most productive and which need to be optimized. ERP can also provide users" customers with transparent data, giving them timely insight, which helps improve customer relationships.

The functions of a CRM and an ERP system are often closely intertwined, but there are major differences. While ERP is oriented towards the past, CRM focuses on the future. For example, ERP records what the customer bought and when, and whether they paid for the goods, and if so, when. CRM, on the other hand, focuses on winning new customers and retaining existing ones. Connecting ERP and CRM is crucial, as it guarantees continuous data exchange.

That"s why, while developing Logzi, we don"t just focus on the data already in the system, but also continuously monitor sales-related trends. These are continuously built into the base system based on feedback from our customers.

The best ERP system is the one that best fits your company. However, which solution that is depends on many factors — most notably your specific needs, your industry and your business model. In every case, you need to make sure the software is flexible and durable enough to accommodate needs that arise later. Besides the ERP system"s features, the vendor and the system developer company must also be a good fit for you, since the key to success is a collaboration built on trust.

We believe we can be the right partner when it comes to business management processes.

Yes, the Logzi business management system uses cloud-based solutions. There"s no need to install anything, you just need to register in a browser and the program is ready to use.

The Logzi business management system was designed to adapt to every resolution and screen size. The software can run on Apple devices, all you need is a browser.

Since barcode reader devices work in a plug-and-play manner, you simply need to connect them to the client computer and they are ready to use with the software. Neither wired nor wireless barcode readers require any separate installation.

Malfunctions can occur occasionally, but this is usually not due to the software, rather to differences in character encoding. For example, this can happen when the reader scans the letter "ö" instead of "0", or when it doesn"t automatically hit enter in a cell. If you experience issues like this, contact us through any of our channels and we"ll help you solve the problem.

Shoprenter

Yes, the business management system can be connected to Shoprenter web stores via an API connection, and multiple web stores can be linked to a single business management system.

Custom settings are available for each web store, such as automatic receiving of orders, partners and products, or the synchronization of stock levels and prices back to the store.

Invoicing

Yes, every invoice issued by a Hungarian business is required to show the buyer"s tax number, with the exception of private individuals.

A default currency can be freely set in every one of our packages. Beyond that, any number of currencies can be added freely, and the program automatically queries the exchange rate against the base currency every time.

The program can issue invoices in any currency you"ve added, without limitation.

In the system settings menu, a separate currency rounding rule can be set for every payment method. These rules let us control the different rounding rules for different currencies. For example, for a HUF invoice, if the payment method is cash, we round to 0 decimals and to the nearest 5 HUF, while for bank transfer we round to 0 decimals. For EUR, rounding is always to 2 decimals.

The daily exchange rate is set by the National Bank of Hungary (MNB), but it is only updated at exactly noon. So the 24-hour rate is always valid from noon until noon the next day.

We provide two different options for this. The first and simplest is to go to Settings / System Settings / Cash Registers and add or edit your cash register"s bank account number.
The other option can be useful if you have multiple bank account numbers — again go to Settings / System Settings, but this time select Document Print Templates and find the invoice print template. There you can set the bank account numbers you want displayed as static text.

No! The invoice number must be unique and sequential — this is required by law.

Yes, Logzi"s invoicing module allows you to create a proforma invoice, also known as an advance request. These invoices run on a separate numbering sequence, are not considered tax documents, and are therefore not part of the accounting either. After the transfer arrives, an advance invoice must be issued, which is then reported to NAV"s online system.

Yes, an advance invoice can be issued with the Logzi business management system.

Yes, the Logzi business management software complies with every invoicing-related regulation, for example it has online NAV reporting and many other useful functions in this regard. Moreover, we follow not only invoicing-related regulations but also other Hungarian regulations related to business management.

Warehouse stock

Physical warehouse stock refers to the products, and the quantity of those products, that are physically present in our warehouse.

Available stock is derived from the stock physically in our warehouse, minus any stock that has already been reserved. It follows that available stock is what can be counted on for sales.

Incoming warehouse stock refers to the quantities of a given product that have already been ordered from the supplier. So we"ve already ordered it, but it hasn"t arrived at our warehouse yet, and therefore hasn"t been added to physical stock.

Of course — to do this, select a product from the list and, on the actions tab, click the "Products at location" button. In the pop-up window, the system will show which product is located where in the location-coded warehouse.

Yes, in the warehouse stock menu, select a product from the list and mark it. Then, on the actions tab, choose the "Serial numbers list" button and browse the data in the pop-up window.

Yes, in the Warehouse Stock menu there is also an "Analytics" button, which, when clicked, lets you look up the most important data for a given product. Here you can also find the turnover rate (TR), which tries to estimate the expected selling time of the quantity in stock, based on historical data.

Barcode scanner

Yes, we developed the business management system so that every function is compatible with barcodes. There are many places where barcode labels can be printed and where barcode labels can be scanned back in. Barcode collectors, also known as data collectors, are special devices, for which we"ve also developed a thin client to speed up warehouse work.

Yes, Logzi Picklist is a thin client available in the Android Play Store for speeding up warehouse goods receiving. The thin client can be installed on any Android version.

With the Logzi Picklist Android app, customer orders can be fulfilled automatically — all you need to do in the warehouse is scan the corresponding barcodes.

We developed the Logzi Picklist Android app to work in a hybrid mode. This means that when there"s an internet connection, it sends and receives data online almost instantly, but if the internet connection is lost, it can keep working with the last synchronized data. In offline mode, we can still collect products (goods issue or goods receipt), and once the process is done and the internet is back, the software uploads the data to the cloud.

If the product is present in Master Data / Partner Master Data, then yes — Logzi lets you print product labels.

Yes, the system can print any dynamic or static text or data on the label. Every label design is available as a template under Settings / System Settings / Label Templates, where they can be freely edited and new designs can be added.

Partner master data

No! For Hungarian businesses, a tax number only needs to be entered for Hungarian legal business forms. For our foreign partners, an EU tax number must be given for international/EU member state partners. For private individuals, there"s no need to fill in a tax number at all!

The business management software calculates using the value set for the credit limit/receivables limit, which always applies to the default currency. This doesn"t mean that invoices/delivery notes can only be issued in the default currency — it means that the limit value was determined and is flagged after conversion at the given exchange rate.
If one of our partners has reached the credit limit, the system flags this based on the built-in rules, but it does not block, for example, the issuing of an invoice.

A payment method can be set for every partner, chosen from among the payment methods added in the settings. This selected value determines the partner"s default payment method, which the system automatically sets as the default on documents.

Yes, in the system settings there"s an option to extend the list of partner types. By default, the system installs the database with 5 records, which are sufficient for the vast majority of our customers.

Providing a bank account number, IBAN and SWIFT identifier in the system is not mandatory, but filling in this banking data can bring great benefits when used consistently. Such benefits include, for example, automatic invoice settlement when importing bank transactions, or tracking of debts and receivables. That"s why it"s advisable to always fill in the banking data associated with a partner, as it speeds up and simplifies later work where banking data needs to be matched with a partner.

If our partner is already using the Logzi system, data can be exchanged automatically. One of the most commonly used functions for this is placing orders — while a purchase is recorded with us as a supplier order, on the actual supplier partner"s side (if we automatically pass on the order) it"s recorded among their customer orders. This function also provides a solution for the data connection between small and large retailers.

Products

The system allows recording three kinds of product types: classic products, services, and manufactured products.
A classic product can be, for example, a mug, a phone, or a lamp. Under the service type you can classify things like shipping cost, delivery fee, or maybe labor hours. A manufactured product, on the other hand, is a summary type that represents a bundle of our classic products — for example, if we have a pen, pencil, eraser and pencil case recorded as products, we can create a manufactured package from them, such as a school kit that contains 2 pens, 5 pencils, 1 eraser and 1 pencil case.

No, we should only delete a product record when we"ll never need it again. Deletion is a permanent solution that means we can never use the product in the system again. Setting the active flag to "no", on the other hand, only temporarily disables the sale, offering, or any use of the product in the system.

Yes, we can upload images for every product. This function comes at no extra cost, but the image size is limited to 2 MB.

Yes, on the product data sheet you can enter a text description for a given record, up to a maximum of 500 characters, which will appear in the line item"s remark field when issuing an invoice or other document.

Yes! If you sell products that are invoiced or received in multiple or different packaging units, we can offer a solution for that too. You need to use the classic product type — for example, add Sugar as a product, for which you need to record different units of measure. These can be 1 piece, 1 kilogram, or 1 ton — all you need to do is set up the conversion numbers.

Stock history

Every product that has been added to the warehouse at least once will have a stock history — when it arrived, who received it, or, for example, what its purchase price was. This function is also known by many as the product card or item card — essentially it returns a product"s life cycle in date order.

The stock history only includes warehouse issues and receipts — that is, every record that triggered some kind of stock movement in the system. The red downward arrow indicates a stock decrease, while the green upward arrow indicates a stock increase.

Yes, it"s possible to filter in both directions. In fact, we can also track products currently in stock in a filtered list.

Warehouses and sites

Yes, any number of sites can be recorded in the system, there"s no upper limit. However, at least one site must always be provided, and it"s advisable to also mark a default site, which the system will automatically apply to document line items.

Yes, it"s advisable to provide the exact address for sites, since the system may use this as a basis in several places, depending on settings. One example is automatic parcel label creation when there are multiple sites.

Storage locations and shelves

Yes, in our software, location codes can be recorded under Inventory Management / Storage Locations and Shelves. Every location code belongs to a site, where the location code is physically located, and has a barcode that lets you speed up warehouse processes with a data collector.

Creating a location code, also known as a storage code, is simple — for every record you need to specify the site, then the row, column and shelf, from which the location barcode is assembled.
For example, let"s say we have "Site A", and in its fifth row, on the third column, we want to create the second shelf — the barcode will then look like this: A-5-3-2

It"s important that location codes are not only written in barcode form, but are also visible to the naked eye. It"s also advisable to choose a label material that is durable and has a good adhesive surface. Plastic labels, for example, which are best printed using a thermal sublimation process, give a durable and clearly legible print. As for size, it"s worth choosing the largest possible, for example a 200×60 mm label, which is legible with the naked eye from 4-5 meters away, and also readable with a data collector.

Work sheet

Yes, in the Logzi business software it"s possible to record online worksheets, which can later even be printed on paper.

Yes! The online worksheet handler can be signed on a suitable tablet or mobile phone that has a touchscreen. If this isn"t possible, it can also be managed not only digitally but in the traditional way — printed out, then scanned back in and uploaded.

From every worksheet, a final invoice can be created quickly and easily with one click, which can even be sent automatically by email.

Of course, every worksheet can be downloaded in Portable Document Format (PDF). To open the files you may need to download Acrobat Reader, a free software for opening documents.

Every worksheet has a freely extendable status-change option, where you can specify the date, a comment, and the name of the colleague who made the status change is automatically recorded. In addition, it"s possible to sign or approve the worksheet.

The system records 4 default types for worksheets, which are: warranty, ad-hoc, contractual or other. If you have special requirements, this list can be freely extended in the system settings.

Of course, since a worksheet always describes the work performed digitally. And the work performed also includes listing the parts built in and the services provided.

Agreement

Recording an agreement, also known as a contract, is useful so we can track the price and quantity agreements made with our partners. These agreements can be set with a validity date, several line items can be added with different quantities, allowing us to even create price tiers toward our customers or suppliers.

Digitize it! With this function we give you the opportunity to digitally map the services and products included in the contract, and beyond that, you can also upload a scanned version of the contract to the agreement.

Yes, but every sales panel indicates to us that we have a contractual price with the partner. However, we have the option to rewrite or correct the contractual price, or even give an extra discount on top of it.

Not by default, but it"s possible to record a to-do linked to the expiry date, which will notify us in the period before expiry.

Promotional prices

Yes, in the Promotional Prices menu it"s possible to put products on promotion, even grouping them by individual product categories under a given promotion.

With every sale, when we add products to the document, it automatically fills in the promotional price. It"s possible to modify the prices or provide further discounts.

Yes, quantity can also be recorded for individual line items, so price tiers can also be formed during promotions.

Yes, every promotion has its own currency, promotions need to be added in the desired currencies, and the system always calculates with the current currencies.

Customer relations

The customer relations function serves to track outgoing and incoming leads in the system. Later, based on these, we can even create remarketing lists or new cold-call lists.

The customer relation direction can be outgoing or incoming, indicating inquiries we"ve sent or inquiries received by us. It can be worthwhile to also track outgoing inquiries, for example toward suppliers or new partners.

Yes, you can specify the lead"s source, for which we"ve set up four default values (Email, phone, in person, letter), but this list can be extended in the system settings.

No, this document type is among those where it"s not mandatory to record a product or service. This is because in the initial state of leads, the partner may not yet be fully aware of exactly what they need.

Yes it"s possible, in fact we offer our customers an even better solution. Through the API connection, an inquiry can even be submitted instantly, minimizing waiting time and maximizing customer satisfaction.

Warehouse receipt

Yes, we provide numerous solutions for using barcode scanners and data collector devices. One option is to scan items one by one with classic barcode scanners, in which case the quantity must be entered. The other option is so-called bulk barcode scanning, where only the barcodes need to be entered and they get added to the document. In addition, we can use the Logzi Picklist app with a data collector, which is a smart and modern solution, but this version works into the barcode collector first, and from there the warehouse receipt is created automatically.

Our products only get into stock when a warehouse receipt is created for them. It"s the only business document type that moves a product"s stock value in a positive direction.

When a warehouse receipt is cancelled, the original document goes into cancelled status, and a cancelled-status document pair with negative values is automatically created. It follows that every item is subtracted back from the stock value by the given quantity.

Yes, with the press of one button you can create a product label in the print menu. In the pop-up window you need to select the language, the label template, and the number-of-pages and number-of-copies options. We also offer printing adjusted to quantity, as well as grouped printing.

Warehouse issue

There are numerous ways to handle warehouse issues with a data collector. This can be classic scanning item by item with a barcode scanner, or bulk barcode entry where barcodes can be scanned onto the screen in bulk. In addition, the most innovative solution is data-collector-based warehouse issue with Logzi Picklist, which first creates a barcode collection document, and the system then automatically creates the warehouse issue from that.

The original warehouse issue document changes to cancelled status and a counterpart is created with cancelled status. This operation is similar to how invoices work. In this case the warehouse issue is entered with negative items, resulting in a positive stock movement, meaning the products recorded on the document become void.

Yes, we also offer printing of product labels for warehouse issues, where you can specify the language, the template, and the number of pages and copies. For copies, this can be a value adjusted to quantity or grouped.

Inventory management

Efficient tracking of the quantity of products in the warehouse is important for effective and efficient warehouse management. With the help of a barcode system, which allows products to be identified and tracked. We equip products with barcodes, which can be read with a barcode scanner. This enables fast and efficient tracking of product quantities. The RFID system (Radio Frequency Identification) is similar to the classic barcode system, but we can exploit the advantage inherent in the read range, which allows products to be tracked within the warehouse without having to see them directly. Data collector systems enable automatic tracking and updating of product quantities, thereby automatically updating warehouse stock when new products arrive, or when a product is picked from the warehouse.

Stock movements can be tracked with the help of automated inventory management systems that provide up-to-date information about the quantity and location of products. With proper planning and forecasting, product availability can be ensured, while monitoring stock levels and timely reordering avoids overstocking. Stock rotation and monitoring sales trends can also help manage stock efficiently. Automatic alerts and manual stock checks help facilitate the necessary interventions in time.

Numerous options are available for automating stock management processes, such as barcode scanning, RFID technology, automatic data-recording systems, warehouse management software, and AI-based stock optimization tools. Automation reduces the possibility of human error and improves efficiency in the field of stock and warehouse management. With automatic alerts and intelligent scheduling algorithms, stock can be moved efficiently, saving businesses time and money. Automated stock management enables real-time data analysis and immediate action, which contributes to more efficient operation and reduced costs.

Immediate response to new orders and customer demands partly depends on efficient stock management strategies, such as fast order intake, reduced delivery times, and maintaining optimal stock levels. Real-time data analysis and the use of AI-based forecasts enable demand forecasting and capacity and stock optimization, which help respond immediately to new demands. Automated stock management, warehouse management software, and real-time tracking systems help take immediate action by moving stock and using it more efficiently. Customer service and sales teams can be prepared with proper training to respond immediately to customer demands.

To carry out stocktaking reliably and efficiently, numerous methods are available, such as barcode scanning, RFID technology, and automated inventory management systems. Preparing and properly planning the stocktaking, such as partially closing the warehouse(s), pre-grouping products, and preparing the necessary tools, helps efficient stock counting. Regular, scheduled counts help avoid stock levels dropping too low, and automatic alerts warn of necessary interventions, with which products can be reordered immediately. Regular data checking, ensuring data accuracy and database updates are also key to reliable stocktaking and efficient stock management.

Planning and using optimal warehouse space requires taking numerous factors into account, such as the size, quantity and turnover speed of the products. Using automated warehouse management systems, shelving systems and location-finding systems helps efficient warehousing. Compliance with goods-protection regulations and safety regulations is also an important aspect. Data-driven analysis, such as taking into account product turnover speed and forecasts, is also key to planning and using optimal warehouse space. Flexible warehouse planning and flexible layout enable adaptation to changing stock levels and efficient warehousing.

Pricing rules

In the business management system, we can set up price rules under the Master Data / Price Rules menu. For every price rule it"s possible to record several items or product groups, and every rule has a start and an expiry date.

Individual price rules must first be entered in the business management system, then saved and closed. It"s important to set a future date for the expiry/validity date, until which the rule will be valid. After that, press the "Validate prices" button, which will immediately put the set prices into effect.

Closed price rules can no longer be modified, but we can delete them at any time. Deleted price rules can be cloned at any time, allowing you to correct or reset the rows you wish to modify.

For the price rules function, our system provides an API interface, with the help of which we can easily and simply connect the data to any other system.

After validating prices, the changes take effect immediately, meaning every new document (e.g. invoice, order) will already offer the price according to the new price rule.

We don"t have any separate task to do in the system, the prices are automatically suggested on new documents.

Tasks

Under the Master Data / To-dos menu we can create new to-dos and also list to-dos already recorded. In addition, the system also allows recording to-dos on the detail page or list page of every document type (e.g. invoice, order).

To-dos already recorded but not yet completed can be modified or deleted under the Master Data / To-dos menu.

To-dos can also be reviewed in a calendar, which is accessible under the Main Menu / Calendar menu. In the calendar, individual to-dos are displayed by color, status and state.

Yes, for every to-do it"s possible to set a deadline / reminder, which we can display in the calendar according to this date.

Yes, the priority of to-dos can be set at any time, right up until expiry or completed status.

Stocktaking

Stocktaking is the assessment of the condition, quantity and value of assets and products in the business management system. It"s important in the business management system because it helps track the condition, quantity and value of a business"s or organization"s assets, ensuring more efficient and accurate financial and accounting planning and reporting. Regular stocktaking helps avoid losses due to disappearance or theft, and also contributes to more accurate preparation of tax returns.

Stocktaking can be carried out in the business management system under the Stock Management / Stocktaking menu, which can be supplemented as needed with a data collector or by using the Logzi Picklist Android app.

Depending on the products and settings, the product"s item number, quantity and serial number must be mandatorily collected. In addition, it"s also possible to collect the purchase price and notes.

Discrepancies must be re-examined and checked, and if the discrepancy is real, it must be recorded on the stocktaking sheet. We can finalize the stocktaking sheet with the closing function. Once we close a stocktaking sheet, the new data given on the sheet immediately takes effect.

During the stocktaking process, we should strive to have every colleague pay extra attention to entering quantities and required data accurately. A proven method is to form several stocktaking groups during the count, who check each other"s work in groups of 2-3 people. Despite this, errors can still occur, in which case a delegated team reviews the remaining discrepancies and corrects the stocktaking sheet with the proper data.

File manager

We can upload various file extensions to the business management system. Most well-known text and image files can be uploaded. Some of these are .doc, .pdf, .xlsx, .xls, pdf, jpg and png.

At the storage level, every subscription includes 5 gigabytes, which can be increased for an extra fee.

We"ve limited the maximum size per file to 10 megabytes.

GLS

Yes, we"ve integrated GLS parcel label creation into our system. The integration is a great complement to our logistics and shipping organization module.
We"ve already written about setting up the GLS extension on our blog, which may be worth reading if you"re a subscriber of our cloud-based business management system.

MPL

Logzi supports connecting with the MPL courier service via an API connection, so it can simply generate a parcel label directly from our software. The integration is a great complement to our shipping organization module.
We"ve already written about setting up the MPL connection on our blog, which may be worth reading if you subscribe to our system.

FoxPost

UNAS

Yes, the business management system can be connected to UNAS webshops via an API connection, and several webshops can be connected to a single business management system.

Within the Logzi system, find the Settings / Integrations menu. Install the app required for the integration, then enter the API data required in your UNAS webshop.

The integration synchronizes basic data such as orders, partners and product data. In addition, it can also be set as an extra option to synchronize products and prices as well.

Yes, there"s no limit. A separate UNAS integration must be installed for each webshop in the Logzi system.

Integration

Yes! From the very beginning we"ve developed the system to be able to connect with any external software and thereby exchange data. We believe that software can only improve a business"s operations if it has as many connection points as possible.
For the API connection we also provide an SDK (Software Development Kit), which you can download from our GitHub page.
https://github.com/numinc/

API (Application Programming Interface) is an acronym formed from an English phrase, meaning application programming interface.
This interface provides access to the instruction set of software and hardware resources. Such interfaces are designed for programmers so they can easily and quickly connect any number of software applications.
