In this module you can issue and manage Invoice documents. The invoice is the basic document of a sale: this is where you record what you sold, to whom, at what price and under what payment terms. This guide presents the edit page of a single invoice: how to create a new invoice, how to add items to it, how to close it for good, and what you can do with it after closing.
The possible statuses of an invoice are: Draft, Closed, Cancellation, Cancelled, Corrective, Corrected — a new invoice always starts in Draft status; the meaning and restrictions of each status are explained in the Frequently asked questions section.
Clicking Main menu / Sales / Invoicing / New opens a blank invoice. An advance invoice is opened by the Main menu / Sales / Invoicing / New advance invoice menu item, a proforma invoice by Main menu / Sales / Invoicing / New proforma invoice, using the same form. You can open an existing invoice from the Main menu / Sales / Invoicing / List menu item. At the top of the page you find the Actions, Additional functions and View and layout tabs, below them the invoice header, then the Items tab and the further tabs (Customer comment, Internal comment, Settings, Related documents, Tasks, Files, Data reporting, Custom fields).

You can record the content of the invoice on the Items tab, using the buttons above the item table. You can choose between several methods — pick the one that is the fastest in the given situation:
Further buttons above the table: Open edits the selected item, Delete removes it, Cloning duplicates it, Group discount, Group price list and Group VAT change the discount, the price list or the VAT rate of several items at once, Product label prints a label, Template loads a saved item template, Product card opens the data sheet of the selected product, and Add-ons and alternatives shows the add-on and substitute products related to the product. The buttons that apply to the selected item can only be used when an item is selected (or when the invoice is in Draft status). Below the item table you can see the Net value, VAT value and Gross value totals of the invoice.

On the Actions tab you find the buttons that control the life cycle of the invoice:
For a closed invoice, a bar showing the payment status appears at the top of the page: a green bar (The invoice has been settled!), a yellow bar (The invoice has not been settled!), or a red bar if the payment deadline has passed and the invoice has not been settled.
Reporting the data of issued invoices is mandatory. If your access is not yet connected to the NAV system, a red warning appears at the top of the invoice, with the Set up data connection button in it. On the Data reporting tab you can see the status of the NAV Online reports (Type, Report timestamp, Last update, Status, Actions), and below it the ledger breakdown of the items (Item number, Name, Revenue ledger (Credit), VAT ledger (Credit), Customers ledger (Debit)).
The Additional functions tab offers extra options that support your daily work: viewing the Sent items, sending a New email (through the external or the built-in internal mail client), adding a New product or a New partner, creating a New task for the invoice, opening the Partner card of the partner, as well as the Delivery note usage and the Advance invoice usage, with which earlier delivery notes or issued advance invoices can be linked to the invoice.
On the View and layout tab you can customize the display of the sheet with the Interface and behavior button, and the columns shown in the item table with the Columns button. These settings are saved for your user, so they are kept the next time you log in as well.
If you often issue similar invoices to the same partner, do not enter the items again: from the earlier invoice you can create a new Draft invoice with the Document management / Cloning command, and for invoices that fall due regularly with the same content use the Recurrence function, so you do not have to issue the invoice by hand every time.
The fields found in the header and on the tabs of the invoice, and their meaning:

| Partner company name | The name of the customer. With the icon you can add a new partner, and the partner data of the invoice is filled in automatically. | |

| Billing address (header) | The billing address of the partner; with the icon you can add a new address to the selected partner. | |

| Customer comment | Text addressed to the customer that also appears on the printed/downloaded invoice; it can also be loaded from a saved text template. | |

| Project, Job number, Department number | Optional classification data on the Settings tab, for reports and for filtering by cost centre. | |

| Online payment option | With installed financial providers, it makes it possible to pay the invoice online. |
The default columns of the item table on the Items tab and their meaning:

| Net unit price | The net price per unit of quantity; it can also be changed manually in the item window. | |
| VAT rate | The VAT rate that applies to the item (e.g. 27%). | |
| Net value | The total net value of the item (quantity × net unit price), calculated by the system. | |
| VAT value | The VAT amount of the item, calculated by the system. | |
| Gross value | The total gross value of the item, calculated by the system. At the bottom of the item table you see the net, VAT and gross totals of the whole invoice. |
The set of visible columns can be customized under View and layout / Columns — the list above shows the default view.
The system assigns the document number automatically on the first save, from the selected invoice block, so that the numbering stays continuous and unique. That is why it is empty before saving, and it cannot be changed manually. The exception is the Manual invoice type, where you enter the document number yourself.
Closing finalizes the invoice, so the items and the header can no longer be edited afterwards, and the item editing buttons are inactive too. The Close button is also only available in Draft status. If you find a mistake, you can cancel, correct or credit the invoice; if you want to issue a new invoice based on a closed one, use the Document management / Cloning function or the Cancel and copy option.
Save only records the data: the invoice stays in Draft status, and you can come back to it and modify it at any time. Close finalizes the invoice, and there is no way to modify it any further. If you are sure of the data, you can do both in one step with the Save and close option.
Make a cancellation invoice when the purchase fell through, that is, no economic event took place; the performance date of the cancellation should match the performance date of the original invoice. Make a corrective invoice when the economic event took place, but not in line with the original invoice (the data was wrong or incomplete). Use a credit when the economic event took place, but you reduce the original consideration afterwards (e.g. a discount, a partial return of goods). All three commands are available for a closed invoice.
These buttons apply to a specific item, so they are only active if you have selected a row in the table. For a closed invoice, item editing is not allowed, so the item adding buttons cannot be used there either. For an Advance invoice, the buttons used for adding items manually (New, Barcode collector, Delete, Cloning) are inactive by default.
The Exchange rate field only appears if the Currency differs from the base currency of the company. If the invoice is made in the base currency (e.g. HUF), no exchange rate is needed, so the field is hidden.
The bar shows the payment status of the closed invoice: the green bar means the invoice has been settled, the yellow one that it has not yet, and the red one indicates that the payment deadline has passed and the invoice has not been settled. You can record the settlement with the Settlement button. The bar does not appear for an invoice in Draft status.
In the Main menu / Sales / Invoicing / List menu item you see all the invoices, and you can search and filter there too. You can read about the detailed use of the list in the Invoice list guide.
You can start the recurrence from the list of invoices: select the closed invoice, then choose the Document management / Recurrence command. The recurrences you created are presented in the Recurring invoices guide.
The module only appears in the menu if it is assigned to your user. If it is missing, ask the administrator of your company to check the module assignment of your user.
