In this module you manage Inter-warehouse transfer documents. The document records when goods move from one site (warehouse) to another — for example from the central warehouse to a shop. This guide covers the editor page of a single document: how to create a new document, how to set for each item where the goods come from and where they go, and what happens when you close the document.
The possible statuses of an Inter-warehouse transfer document are: Draft, Closed, Cancellation, Cancelled — a new document always starts as Draft; closing makes it Closed, deleting makes it Cancelled. Cancellation is part of the shared status list of the system, but it cannot be set on this document type in the interface. The restrictions of each status are explained in the Frequently asked questions section.
Click Main menu / Stock management / Inter-warehouse transfer / New to open an empty document. You can open an existing document from Main menu / Stock management / Inter-warehouse transfer / List. At the top of the page you find the Actions, Additional functions and View and layout tabs, below them the document header, then the Items tab and the other tabs. The screenshots were taken in the Hungarian interface, so the labels in them are in Hungarian.
The header contains the following fields — see the Field reference section for a detailed description of required and optional fields:
This document has no partner or currency: the transfer is an internal stock movement, so you set the source and the destination site per item.
You record the content of the document on the Items tab with the buttons above the item table. On this document type you manage items with the following buttons:
In the item window (New button) the product data is at the top. When you type in the Item number field, the system suggests the matching products; the Name field of the selected product is filled in automatically, and the refresh icon next to the field reloads the product data. The Name is required, and the Quantity is the number of pieces to transfer (you can also enter decimals).
The two sections of the item window decide where the product comes from and where it goes:
If you change the source or the destination site, the matching location code field is cleared, because location codes belong to a site — select the right one again.
The Save button of the item window records the item on the document (visible only in Draft status), and the Close button closes the window without saving. If the product you entered does not exist yet in the master data, the system shows an error and offers to create a simple product or a service from it.
For products with serial numbers the item window also shows the List of serial numbers tab. With the Add new row button you enter the Quantity, the Serial number and the Shelf life row by row. For a product with serial numbers, entering a serial number is required: without it the system shows an error saying that the product requires a serial number. When you close the document, the serial numbers move to the destination site.
Besides the Items tab there are further tabs:
On the Actions tab you find the buttons that control the life cycle of the document:
With the Download button on the Actions tab you can download the document in CSV, XLSX or PDF format.
On the Additional functions tab you find extra options for daily work: viewing the Sent items, sending a New email (through an external or the built-in internal mailer), creating a New product or a New partner, and creating a New task for the document. On the View and layout tab the Interface and behavior button (Felület és működés) lets you customize how the record is displayed; this setting is saved for your user.
Before you fill in the Destination section, look at the stock table under Source: if the product is on several location codes, you immediately see how much is available on each. If a larger shipment consists of several products, enter all of them as separate items in the same document — a single Close then moves everything, and there will be only one issue and one receipt document.
The fields in the document header and on its tabs, and what they mean:
| Field / Element | Required | Description |
|---|---|---|
| Document number | The unique identifier of the document (e.g. TRANS000062/2026). It is created automatically on the first save and cannot be edited by hand. | |
| Status | The state of the document (Draft, Closed, Cancellation, Cancelled). Draft for a new document; the system changes it as a result of actions (closing, deleting). | |
| Document date | The day the document was created, filled in automatically and not editable. | |
| Performance date | The date the transfer actually took place; selectable from a calendar. The document cannot be saved without it, and it can be changed only in Draft status. | |
| Internal comment | A note visible only inside the company; it can also be loaded from a saved text template. | |
| Billing address | Selectable on the Settings tab: which company address appears on the document. | |
| Project, Job number, Department number | Optional classification data on the Settings tab, for reports and filtering by cost center. If the value does not exist yet, you can create it on the spot with the icon. |
The columns of the item table on the Items tab and the matching fields of the item window:
| Field / Column | Required | Description |
|---|---|---|
| Name | The name of the product to transfer; filled in automatically when you select the product. | |
| Item number | The unique item number of the product, which identifies it in the master data. When you type it, the system suggests the matching product. | |
| Quantity | The transferred quantity in the unit of the product (e.g. pcs). You can also enter decimals. | |
| Source warehouse | The Site field of the Source section in the item window: from which site's stock the product is taken. | |
| Source location code | The Storage locations and shelves field on the source side: from which shelf the product is taken. You can choose from the location codes of the source site. | |
| Source pallet | The Pallets and containers field on the source side: from which pallet or container the product is taken. | |
| Destination warehouse | The Site field of the Destination section in the item window: to which site the product arrives. | |
| Destination location code | The Storage locations and shelves field on the destination side: on which shelf the product should be placed. If left empty, the product goes to the destination site without a specific shelf. | |
| Destination pallet | The Pallets and containers field on the destination side: on which pallet or in which container the product should be placed. |
The system assigns the document number automatically on the first save (e.g. TRANS000062/2026), so that the numbering stays continuous and unique. That is why it is empty before saving, and it can never be changed by hand.
Closing carries out the stock movement, so the header and the items can no longer be edited afterwards, and the Save button does not appear in the item window either. The Close button is also available only in Draft status; if you try to close an already closed document, the system shows an error. If you closed it with wrong data, use the Delete and copy option: it deletes the document (together with its linked issue and receipt) and makes a copy that you can correct and close again.
Save only records the data: the document stays Draft, the stock does not move, and you can come back to it any time. Close carries out the transfer: this is when the automatic issue and receipt documents are created and the products move to the destination site. If you are sure about the data, Save and close does both in one step.
You can delete only Draft and Closed documents; a Cancelled document cannot be deleted again (the system shows an error saying that deleting is possible only in open or closed status). After deleting, the document becomes Cancelled and cannot be restored. When you delete a closed document, the automatically created issue and receipt documents are deleted as well, so the stock goes back to the source site.
There are two typical reasons. First, the Performance date is required: if it is empty, the Kötelező értéket megadni message (required value) appears below it. Second, the document needs at least one item — without an item the system does not save it. In the item window the Name and the source and destination Site are also required, so check these too. The Billing address on the Settings tab is required as well.
The tab appears only for products with serial numbers. If the selected product does not use serial numbers, you only need to enter the quantity for the transfer; you do not have to record serial numbers.
On the Related documents tab of the closed transfer, where you can also open them with the icon at the end of the row. You can read about how the issue document works in the Warehouse issue document guide, and you can find earlier transfers with the help of the Inter-warehouse transfer list guide.
The module appears in the menu only if it is assigned to your user. If it is missing, ask the company administrator to check the module assignment of your user.
