In this module you create Group inter-warehouse transfer documents. This is the fast entry variant of the inter-warehouse transfer: use it when many products have to be moved from the same site to the same other site. You enter the source and destination site only once, in the header, and the system applies them to every item — for the items you only need to record the product and the quantity (and the serial numbers for a serial-numbered product). This guide describes the group entry form: how to fill in the header, how to add items, and how to save, close or delete the document.
The possible statuses of an Inter-warehouse transfer are: Draft, Closed, Cancellation, Cancelled — a new document always starts as Draft; the meaning and restrictions of each status are explained in the Frequently asked questions section.
Click Main menu / Stock management / Inter-warehouse transfer / New group to open an empty group transfer. Group entry can only be started from this menu item. You can open previously created transfers under Main menu / Stock management / Inter-warehouse transfer / List. At the top of the page you find the Actions and Additional functions tabs, below them the document header, then the Items tab and the other tabs. The screenshots are taken from the Hungarian demo interface, so the labels in them are in Hungarian.
In Logzi you can create an inter-warehouse transfer in two ways, and the two variants suit different situations:
If some of the products go to a different site, or you want to record a location code for each item, use the standard sheet. After saving, a group transfer opens in the standard sheet, where you can keep editing it. In the list, transfers created in either way are not shown separately.
The header contains the following fields — you can see a detailed description of the required and optional fields in the Field descriptions section:
You record the content of the document on the Items tab with the buttons above the item table. Above the table there is also a search box in which you can search among the items already added; on its right you see the totals (for example 1 sor / 5 db tétel, that is 1 row / 5 items). You can choose between two methods of adding items:
The item window has two buttons: Save adds the item to the document, and Close closes the window without saving. For a serial-numbered product the item window also shows the List of serial numbers tab: there you can use the Add new row button to enter the Quantity, the Serial number and the Shelf life row by row. The other buttons above the items: Open edits the selected item, Delete removes the selected item. These buttons can only be used when a row is selected (and the document is in Draft status).
The group item window is simpler than the one on the standard sheet: it has no site, location code or price settings, and there is no Product card button either — the sites come from the header.
Next to the Items tab there are more tabs:
There is no Custom fields tab on the group transfer — if you want to use custom fields, open the standard sheet.
On the Actions tab you find the buttons that control the life cycle of the document:
For a new, not yet saved document the Delete (Törlés) and Close (Lezárás) buttons are grey (see the first screenshot), because there is nothing to delete or close yet. If you want to finalise the document right away, choose Save and close from the arrow next to Save.
If you have a picking list or a barcode reader in the warehouse, do not type every item separately: set the Source site and the Destination site, open the Barcode collector window and scan the products one after another, for example 5901234123457;12 (12 pieces). The system creates all the items from the scanned lines at once, and at the end you can finalise the transfer straight away with the Save and close option.
The fields in the header and on the tabs of the group transfer, and what they mean:
| Field / Element | Required | Description |
|---|---|---|
| Document number | The unique identifier of the document. It is created automatically on the first save and cannot be edited manually. | |
| Status | The status of the document (Draft, Closed, Cancellation, Cancelled). Draft for a new document; the system changes it as a result of actions (closing, deleting). | |
| Document date | The day the document was created; it is filled in automatically and cannot be edited. | |
| Performance date | The date on which the transfer actually takes place; it can be chosen from the calendar. It cannot be changed after closing. | |
| Source site | The site the products leave. You enter it once in the header and it applies to all items. | |
| Destination site | The site the products go to. You enter it once in the header and it applies to all items. | |
| Internal comment | A note visible only inside the company; it can also be loaded from a saved text template. | |
| Billing address | Selectable on the Settings tab: which company address appears on the document. | |
| Project, Job number, Department number | Optional classification data on the Settings tab, used for reports and for filtering by cost centre. If the value does not exist yet, you can create it on the spot with the icon. |
The columns of the item table on the Items tab, and what they mean:
| Field / Column | Required | Description |
|---|---|---|
| Name | The name of the transferred product; it is filled in automatically when you select the product. | |
| Item number | The unique item number of the product, which identifies it in the master data. With the refresh icon next to the field you can reload the product data based on the item number. | |
| Quantity | The transferred quantity in the unit of the product (for example pcs). You can also enter decimal fractions. |
The site is not a separate field on the items: the Source site and Destination site values in the header apply to every item. For a serial-numbered product, the List of serial numbers tab of the item window lets you enter the Quantity, the Serial number and the Shelf life row by row.
The system assigns the document number automatically on the first save so that the numbering stays continuous and unique. That is why it is empty before saving, and it can never be edited manually.
Draft: the document can be edited, closed and deleted. Closed: closing finalises the document, so the header and the items can no longer be edited, the item editing buttons are inactive and the Close button is not available; it can still be deleted. Cancellation and Cancelled: such a document can neither be closed nor deleted any more. If you find a mistake in a closed transfer, delete it and create it again with the correct data.
Save only records the data: the document stays in Draft status, the stock does not move, and you can come back to it at any time. Close finalises the document: the products move from the source site to the destination site, and it can no longer be modified. If you are sure about the data, you can do both in one step with the Save and close option.
To save, the Performance date, the Source site and the Destination site are required, and the Billing address is also required on the Settings tab. In addition, you must add at least one item to the document. The system marks a missing required field in red — check the header and the Settings tab too.
Not on a group transfer: the sites in the header apply to all items. If you need a different source or destination site, or a location code, for individual items, use the standard sheet under Main menu / Stock management / Inter-warehouse transfer / New, which is described in the Inter-warehouse transfer document guide.
These buttons apply to a specific item, so they are only active when you have selected a row in the table. For a closed document item editing is not allowed, so the item adding buttons cannot be used there either.
The List of serial numbers tab only appears for serial-numbered products. If the selected product is not serial-numbered, it is enough to enter the quantity for the transfer.
Under Main menu / Stock management / Inter-warehouse transfer / List you see all transfers — those created as a group and those created on the standard sheet together — and you can search and filter there too. You can read about using the list in detail in the Inter-warehouse transfer list guide.
The module only appears in the menu if it has been assigned to your user. If the New group item is missing, ask your company administrator to check the module assignment of your user.
