In this module you manage Warehouse issue documents. A warehouse issue document records when products leave the warehouse — for example because of a delivery to a customer, internal use or write-off. This guide describes the editor page of a single document: how to create a new one, how to add items to it (including serial numbers for serial-numbered products) and how to close it for good.
The possible statuses of a Warehouse issue are: Draft, Closed, Cancellation, Cancelled — a new document always starts as Draft; the meaning and restrictions of each status are explained in the Frequently asked questions section.
The screenshots in this guide were taken in the Hungarian interface; where a button is visible in an image, its Hungarian label is shown in parentheses.
Click Main menu / Stock management / Warehouse issue / New to open an empty document. You can open an existing document from Main menu / Stock management / Warehouse issue / List. At the top of the page you find the Actions, Additional functions and View and layout tabs, below them the document header, and then the Items tab and the other tabs.
The header contains the following fields — a detailed description of the required and optional fields is in the Field descriptions section:
For internal movements (for example internal use or write-off) entering a partner is not required.
You record the content of the document on the Items tab, using the buttons above the item table. There are several methods — choose the one that is fastest in your situation:
On the Properties tab of the item window (New button) you can choose from the following buttons:
On the Warehousing master data tab, selecting the Site is required — it determines the stock of which site the product is taken from —, and here you can also enter the Storage locations and shelves (location code) and the Pallets and containers data. The Accounting tab is available for the data needed for bookkeeping.
For serial-numbered products the item window also shows the Serial numbers tab. Here you choose exactly which serial numbers leave the warehouse from the list of available serial numbers (Elérhető egyedszámok): select a serial number and use the Add (Hozzáadás) button to move it to the selected serial numbers (Kiválasztott egyedszámok), use Remove (Visszavonás) to take it back, and use Add all (Mind hozzáadása) and Remove all (Mind visszavonása) to move all of them at once. The number of selected serial numbers is shown at the top of the tab, and the system fills in the Quantity of the item automatically from it. For products managed by lot (LOT), the split button at the top of the tab (Egyedszám bontása) splits the quantity of the selected serial number, so that only the required part is issued from stock.
Further buttons above the table: Open edits the selected item, Delete removes it, Cloning duplicates it, Product label prints a label, Template loads a saved item template, Product card opens the record of the selected product, and Add-ons and alternatives shows the add-on and substitute products linked to the product. These buttons can only be used when an item is selected (and for a document in Draft status).

On the Actions tab you find the buttons that control the life cycle of the document:
On the Additional functions tab you find extra options that help in daily work: viewing the Sent emails, sending a New email (through an external mail client or the internal mailer built into the system), creating a New product or New partner, creating a New task for the document, and opening the Partner card of the partner.
On the View and layout tab, the Interface and behavior button customises how the record is displayed, and the Columns button customises the columns shown in the item table. These settings are saved for your user, so they are kept the next time you sign in.
For a serial-numbered product, type (or scan) the serial number into the search field on the Serial numbers tab and press Enter: the system immediately moves the first match to the selected serial numbers and clears the search field, so you can scan the next serial number right away. For larger quantities this is much faster than clicking through the list one by one.
The fields in the header and on the tabs of the document, and what they mean:

| Exchange rate | Only shown if the currency differs from the base currency of the company. The system fills it in when you change the currency, and you can modify it if needed. | |
| Partner company name | The name of the partner (customer). With the icon you can add a new partner, and the partner data of the document is filled in automatically. It can stay empty for internal movements. | |
| Partner contact person | The contact person on the partner side; with the icon you can add a new contact person to the selected partner. | |
| Partner address | The address of the partner; with the icon you can add a new address to the selected partner. | |
| Customer comment | Text addressed to the partner that also appears on the printed/downloaded document; it can also be loaded from a saved text template. | |
| Internal comment | A note visible only within the company. | |
| Billing address | Selectable on the Settings tab: which company address appears on the document. | |
| Project, Job number, Department number | Optional classification data on the Settings tab, for reports and for filtering by cost centre. If the value does not exist yet, you can create it on the spot with the icon. |
The default columns of the item table on the Items tab and what they mean:

| Item number | The unique item number of the product, by which it can be identified in the master data. When you type it, the system offers the matching product. | |
| Quantity | The quantity issued, in the unit of measure of the product (e.g. pcs). You can enter decimals. For a serial-numbered product the system fills it in automatically from the selected serial numbers. | |
| Net unit price | The net price per unit of quantity; it is calculated from the Net base price and the Discount / Surcharge, but can also be modified manually in the item window. | |
| VAT rate | The VAT rate that applies to the item (e.g. 27%). | |
| Net value | The total net value of the item (quantity × net unit price), calculated by the system. | |
| VAT value | The VAT amount of the item, calculated by the system. | |
| Gross value | The total gross value of the item, calculated by the system. At the bottom of the item table you see the net, VAT and gross totals of the whole document. | |
| Site | Selectable on the Warehousing master data tab of the item window: the stock of which site the product is taken from. |
The set of visible columns can be customised under View and layout / Columns — the list above shows the default view.
The system assigns the document number automatically on the first save (e.g. KIV000718/2026) so that the numbering stays continuous and unique. That is why it is empty before saving, and it can never be edited manually.
Closing finalises the document, so the items and the header can no longer be edited and the item editing buttons are inactive too. The Close button is only available in Draft status. If something needs correcting, use Document management / Cloning to make a copy of the document and correct that.
Save only records the data: the document stays in Draft status and you can come back to it and modify it at any time. Close finalises the document, and it can no longer be modified. If you are sure about the data, you can do both in one step with the Save and close option.
You can only delete documents in Draft and Closed status. After deletion the document moves to a deleted or cancelled status and cannot be restored. If you only want to correct it, use the Delete and copy option: it deletes the document and makes a copy that you can correct.
These buttons apply to a specific item, so they are only active when you have selected a row in the table. For a closed document item editing is not allowed, so the item adding buttons cannot be used there either.
The Serial numbers tab only appears for serial-numbered products. If the selected product is not serial-numbered, it is enough to enter the quantity for the issue; you do not need to choose a serial number.
Under Main menu / Stock management / Warehouse issue / List you see all documents, and you can search and filter there too. You can read about using the list in detail in the Warehouse issue list guide.
The module only appears in the menu if it has been assigned to your user. If it is missing, ask your company administrator to check the module assignment of your user.
