On this sheet you create and edit Certificate of completion documents. The sheet consists of the header data (document number, dates, currency, partner), the tabs below it (items, comments, settings, related documents, tasks, files, custom fields) and a totals row at the bottom (net value, VAT value, gross value). From a closed certificate you can start an invoice, an incoming invoice, a delivery note or a worksheet with the Document management menu.
The possible statuses of the document are: Draft, Closed, Cancellation, Cancelled. On a document that has already been saved, further tabs appear at the top of the sheet (Details, History, E-mail, Package tracking, CRM, Status history, Events); this guide does not describe how they work in detail.
Open a new certificate with Main menu / Sales / Certificate of completion / New. You can open an existing certificate in Main menu / Sales / Certificate of completion / List by selecting the document and clicking the Open button. The screenshots were taken in the Hungarian demo interface.
The fields of the header data:
You manage the items of the document with the button row of the Items tab. The buttons can only be used on a document in Draft status:
On the Properties tab of the new item window enter the data of the item: Item number, Name, Quantity, VAT rate, Net base price, Discount / Surcharge, Net unit price, Gross unit price, Item comment. The panel on the right shows the prices and stock data of the product for information on its Basic data and Other tabs. At the bottom of the window you can see the Net value, VAT value and Gross value of the item; it is worth checking them before saving, because the price fields are interrelated values. On the Warehousing master data tab you can specify the site and, if you use them, the location code and the pallet.
The buttons of the window:
The first three buttons of the Actions tab take the document through its statuses:
On the Additional functions tab you find the Sent items view, the New email button (External mail client or Internal mail client), the New product, New partner and New task buttons, and the opening of the Partner card. New email can only be used on a saved document. On the View and layout tab, the Interface and behavior and Columns settings let you adjust the appearance and the columns of the item table. At the right end of the tab row, the CRM link opens the CRM notes related to the document.
Save the document before you close it, delete it or start a new document from it: closing and the Document management actions work from the saved state. If you need the file right after closing, choose Close and download from the arrow next to the Close button.
The fields of the header data and their meaning:
| Field / Element | Required | Description |
|---|---|---|
| Document number | The unique identifier of the certificate of completion (e.g. TIG000006/2025). Managed by the system, it cannot be edited on the sheet. | |
| Status | The current state of the document (Draft, Closed, Cancellation, Cancelled). Read-only; changed by the Save, Close and Delete actions. | |
| Document date | The date the document was created. Read-only. | |
| Performance date | The date of performance; it must be filled in to save. | |
| Currency | The currency of the document. Required to select on a new sheet, it cannot be changed on an existing document. | |
| Exchange rate | The exchange rate; it cannot be changed on an existing document. | |
| Partner company name | The name of the partner linked to the document; next to it you can open the partner sheet and create a new partner. | |
| Partner contact person | The contact person on the partner side; a new contact person can be added next to it. | |
| Partner address | An address selectable from the addresses recorded for the partner; a new address can be added next to it. |
The fields of the Settings tab:
| Field / Element | Required | Description |
|---|---|---|
| Billing address | An address selectable from the billing addresses of your company (by country and address). | |
| Project | The project that can be linked to the document; a new project can be created with the + button. | |
| Job number | The job number that can be linked to the document; a new job number can be created with the + button. | |
| Department number | The department number that can be linked to the document; a new department number can be created with the + button. |
The fields of the new item window:
| Field / Element | Required | Description |
|---|---|---|
| Item number | The item number of the product, by which it can be identified in the master data. | |
| Name | The name of the product or service on the item. | |
| Quantity | The quantity of the item; the unit of the product is shown in the field. A number must be entered. | |
| VAT rate | The VAT rate applied to the item (e.g. 27%). | |
| Net base price | The net base price of the item. | |
| Discount / Surcharge | A percentage discount or surcharge on the item. | |
| Net unit price | The net price per unit of the item on the document. | |
| Gross unit price | The gross price per unit of the item on the document. | |
| Item comment | A free-text comment on the item. | |
| Site | The site selectable on the Warehousing master data tab; the window marks it as required. |
Marking Quantity as required is an inference based on the number validation of the field; the window directly indicates that VAT rate and Name are required.
The columns of the table on the Items tab:
| Field / Column | Required | Description |
|---|---|---|
| Name | The name of the product or service on the item. | |
| Part number | The item number of the product. | |
| Quantity | The quantity of the item. | |
| Net unit price | The net price per unit. | |
| VAT rate | The VAT rate applied to the item (on the sheet a percentage value, e.g. 27%). | |
| Net value | The total net value of the item. | |
| VAT value | The VAT amount of the item. | |
| Gross value | The total gross value of the item. |
The Net value, VAT value and Gross value totals row at the bottom of the sheet shows the total amount of the document in the selected currency.
The Certificate of completion module only appears under Main menu / Sales if it has been assigned to your user. If you do not see it, ask the system administrator to check the module assignment in your user settings.
To save, at least one item must be on the document and the required fields must be filled in: the Performance date, the Billing address field (Settings tab) and, on a new sheet, the Currency field. If saving stops with an error message, read the message, correct the indicated field and try again.
Items can only be added, deleted or copied on a document in Draft status. A closed document is final and its items can no longer be modified. The Document number, the Status and the Document date fields can never be edited, and the Currency and the Exchange rate cannot be changed on an existing document.
Save records the data, but the document remains a Draft, so you can keep editing it. Close finalizes the document and no further modification is possible afterwards. If you want to save and close in one go, use the Save and close option from the arrow next to the Save button.
The CSV, the final PDF and the Invoice, Incoming invoice and Delivery note options are only available for a document in closed (or further progressed) status. In draft status the PDF preview and the XLSX can be used; if you need the final copy, close the document first.
Close the certificate, then start the invoice with Document management > Invoice. The system opens the new invoice sheet with the data of the certificate; you save and close it yourself. The Incoming invoice and Delivery note options work in a similar way.
A deleted document does not disappear for good: it goes to Cancelled status and can be found with the Status filter on the Search tab of the list. Deletion cannot be undone and the document cannot be restored. Documents in Draft and Closed status can be deleted. If you want to record it again with the same data, use the Delete and copy option.
These actions are only available for a saved document. On a new sheet, first add at least one item, then save the document.
