In this module you can review and manage Certificate of completion documents. A certificate of completion is a document type found under the Sales menu: it contains items, prices and VAT linked to a partner, and from a closed certificate you can start an invoice, an incoming invoice, a delivery note or a worksheet with the document management menu. The list page gives you one place to reach all previously created certificates, search among them and start the most important actions directly from here (creating a new document, closing, deleting, copying, downloading, printing, creating an invoice, transport organization).
The possible statuses of Certificate of completion documents are: Draft, Closed, Cancellation, Cancelled — the meaning and restrictions of each status are described in the Frequently asked questions section.
Click Main menu / Sales / Certificate of completion / List to see all certificates created so far. Above the table, on the Actions tab, you will find the buttons you can use with the selected document. You can also create a new certificate with Main menu / Sales / Certificate of completion / New or with the New button of the list.
At the right end of the tab row, the Analytics link takes you to the statistics page of certificates of completion, and with the clipboard icon you can copy the content of the table to the clipboard, for example to paste it into a spreadsheet.
Click the Search tab above the table to see the filtering options. The fields visible right away are Partner company name, Document number, Currency and Status (you can select more than one status). With the “Expand” button further filters open: Document date and Performance date from–to, Employee, Item number, Project, Job number, Department number, Customer comment and Internal comment. Apply the conditions with the Search button.
On the View and layout tab you can set how the list is displayed for you:
These settings are saved per user, so they are kept the next time you sign in.
In the panel below the list you can quickly view the details of a selected document without opening the document itself. The tabs of the panel appear depending on the View and layout > Preview window setting:
The panel can be pinned (set to a fixed size) with the icon in its top right corner, and its size can be changed by dragging the divider line at the top of the panel.
On the Additional functions tab you will find extra options for the selected document that help your daily work:
If you right-click the row of a document, the same quick actions (open, close, delete, copy, etc.) are available from a context menu as on the Actions tab.
If you need to issue an invoice based on a certificate of completion, do not enter the data again: select the closed certificate, then with Document management > Invoice the system opens the new invoice sheet prefilled with the data of the certificate. And if you need the file of the document right after closing, choose Close and download from the arrow next to the Close button — this way you do not have to download it in a separate step.
The default table columns and their meaning:

| Status | The current state of the document (Draft, Closed, Cancellation, Cancelled). |
The set of displayed columns can be customized under View and layout > Columns — the list above shows the default view.
The columns of the Items tab of the preview window and their meaning:

Only a document in Draft status can be closed, and only a document in Draft or Closed status can be deleted — documents in Cancellation and Cancelled status can be neither closed nor deleted. Closing makes the document final and no further modification is possible. If closing stops with an error message, read the message, check the data of the document and try again.
These actions are only available for documents in closed (or later-stage) status. For a document in draft status you can use Download > PDF preview and XLSX items — if you need the final copy, close the document first (even with the Close and download option). Also make sure that the row is selected in the table, because without a selection the buttons are not active.
A deleted document does not disappear for good: it goes to Cancelled status and can still be found in the list if you filter by this status with the Status filter on the Search tab. Deletion cannot be undone, the document cannot be restored, and a cancelled document can neither be closed nor deleted again. If you want to record it again with the same data, use the Delete and copy option, which also creates a copy next to the deletion.
Document management starts another document (an invoice, incoming invoice, delivery note, worksheet or a copy) based on the selected certificate, so it extends your business documentation. Transport organization, in contrast, does not create a document but a parcel label, or opens the list of the parcel labels already recorded — so it helps you prepare the shipment.
Filter the list to the documents you need on the Search tab, then with Download > XLSX list you can export the whole list as currently shown into one spreadsheet, even without a selection. If you also need the items, use the XLSX item list option.
Select the document, then on the Additional functions tab click New email and choose the External mail client or the Internal mail client. You can view the messages previously sent for the document with the Sent items button. The buttons are only active when a document is selected.
The Certificate of completion module only appears under Main menu / Sales if it has been assigned to your user. If you do not see it, ask the system administrator to check the module assignment in your user settings.
