With the Supplier turnover list you see, summed up by supplier, how much you have purchased from each of your partners based on your incoming invoices, how much of it you have settled, and how much you still owe. The list does not enumerate invoices. It shows one row per partner: the total value of all its incoming invoices, the settled part, the balance and the date of the latest performance. This lets you quickly answer who you owe money to and who your biggest suppliers are.
The list is based on incoming invoices only. Supplier orders and offers are not included. It does not filter by the status of the incoming invoices: invoices that are not yet closed (drafts) are counted as well, while deleted invoices are not. If there is no result for the given filter, the message The results list is empty or contains no items to display appears in place of the table, together with the possible reasons.
Click Main menu / Procurement / Supplier turnover list and the list opens with the Actions tab selected. The pager above and below the table shows the page number and the total number of results (e.g. 1 - 10 / 201). This total is not the number of partners but the number of invoices behind them, so it can be higher than the number of partners in the list (see the Frequently asked questions section). The screenshots were taken in the Hungarian demo interface, so the Hungarian labels are given in parentheses where it helps. In the default view, clicking the name of a partner opens the data sheet of the partner in a new tab.
One row means one partner. The values of the row are calculated from the incoming invoices of the partner:
Two concrete examples from the screenshot: the invoices of Beszállító Kft. have a Value of 1 036 546 Ft, of which 36 158 Ft is settled, so Debit/credit is 1 036 546 - 36 158 = 1 000 388 Ft. For ÖntözzVelem Kft the Value is 20 320 Ft but Settled is 21 320 Ft, so Debit/credit is -1 000 Ft: you have paid 1 000 Ft more than the invoices amount to.
The rows are sorted by Value in descending order, so your biggest suppliers come first. Amounts are rounded to whole forints, shown with thousands separators and the currency sign.
On the Search tab you find three filters. In the Partner company name field you can enter a part of the name (at least three characters; for shorter text the list is not filtered). With the Kelte pair of fields (invoice date) you can set the period of the invoice date, and with the Performance date pair the period of the performance date, from date to date. Click the Search button to apply the conditions. The Expand button is inactive on this page.
It is important that the period filter works before the summation: the system adds up only the invoices that fall into the given period. If you enter a quarter, for example, the Value, Settled and Debit/credit are calculated from the invoices of that period only, and Last purchase is the latest performance of the filtered invoices.
In the screenshot the search for numinc returns two partners: NUMINC Kft and NUMINC 11 Kft.. They are two separate partners and therefore appear in separate rows, while the pager shows 53 results because it counts the invoices behind them.
On the View and layout tab you can set how the list appears for you:
If you want a summary of a partner without leaving the list, first select the row in the table (click any of its columns), then click the Partnerkarton (Partner card) button on the Actions tab. In the pop-up window you see the basic data, the turnover, the orders and the balance of the partner, and from there you can reach further details (for example company data, contacts, addresses, invoices). Keep in mind that the partner card shows the turnover of all invoices of the partner, so its totals can differ from the Value column of the list: in the screenshot the card of NUMINC Kft shows 812 invoices and a total turnover of 5 917 032 HUF, while the Value in the list is 976 575 Ft.
On the Actions tab, choose XLSX lista from the Download menu to download the list as an Excel file. The download uses the filters set on the Search tab and contains all results, not only the page you are looking at. Since the list cannot be sorted on the screen, if you want to order the suppliers for example by their debt, download the file and sort it in Excel.
If you want to find out which supplier you owe the most, download the list with XLSX lista and sort it by the Debit/credit column in Excel, because on the screen the order is always by Value. If you are interested in the turnover of a quarter or a year, enter the first and last day of the period in the Kelte fields, and the list sums up only the invoices of that period.
The columns of the list and their meaning. The check mark shows that the column is visible by default, the dash shows that you can switch it on only in the View and layout / Oszlopok setting:
| Column | Visible by default | Description |
|---|---|---|
| Partner company name | The name of the supplier. In the default view it is a clickable link that opens the data sheet of the partner in a new tab. | |
| Value | The gross total of all incoming invoices of the partner in the default currency (an invoice in another currency is converted with the exchange rate recorded on the invoice). Rounded to whole forints, with the currency sign. | |
| Settled | The sum of the settlements recorded against the invoices of the partner, in the default currency. | |
| Usable | Currently 0 for every partner on this list. | |
| Debit/credit | The difference between Value and Settled. Positive: outstanding debt. Negative: overpayment. | |
| Last purchase | The latest performance date of the (filtered) invoices of the partner, in YYYY.MM.DD format. | |
| Partner azonosító | The internal identifier of the partner (Partner ID). | |
| Partner adószám | The tax number of the partner (Partner tax number). |
The Supplier turnover list appears under Main menu / Procurement only if the module is assigned to your user. If you cannot find it, ask your system administrator to check the module assignment of your user.
The Value adds up incoming invoices only, without deleted invoices, regardless of the status of the invoices, so draft invoices are counted as well. The amount is gross and converted to the default currency: invoices in another currency are converted with the exchange rate recorded on the invoice. The Kelte and Performance date filters also filter the invoices before the summation. To compare, set the same filters on the two lists.
On this list the Usable column is currently 0 for every partner, because the list summarizes incoming invoices only, and none of them produces a usable amount. The column does not affect the Debit/credit value, so you can safely ignore it.
Debit/credit is the difference between Value and Settled. If you have settled more towards the partner than the total of its invoices, the difference is negative, which means an overpayment. In the screenshot, for ÖntözzVelem Kft the Value is 20 320 Ft and Settled is 21 320 Ft, so the balance is -1 000 Ft. In such a case it is worth checking the settlements of the invoices.
The total of the pager counts the incoming invoices that match the filter, while the table merges them per partner. A partner can have many invoices, so the number in the pager is higher than the actual number of partners. For example, the search for numinc gives 53 results, but only two partners appear in the table. Because of this, later pages can be empty; in that case go back to the first page.
The list contains only partners from whom you have at least one non-deleted incoming invoice under the given filter conditions (for example in the Kelte period). If you have only a supplier order with a partner, or you have only issued invoices to it, it does not appear here. The Partner company name field does not filter for text shorter than three characters, and it searches any part of the name, so it also returns partners with similar names (for example numinc finds both NUMINC Kft and NUMINC 11 Kft.), which appear in separate rows.
On the View and layout tab you can select a column, a direction and a number of rows, but on this list these settings currently do not change the display: 10 partners are always shown per page, in descending order of Value. If you need a different order (for example by Debit/credit), download the list with XLSX lista and sort it in Excel. The Oszlopok setting, however, works.
The Partnerkarton (partner card) is the general summary sheet of the partner and shows the turnover of all invoices of the partner, not only the incoming ones. The Value of the list, on the other hand, is calculated from incoming invoices only (and the filter you set). In the screenshot the card of NUMINC Kft shows 812 invoices and a total turnover of 5 917 032 HUF, while the Value in the list is 976 575 Ft. For the purchase turnover of the partner, use the values of the list.
The partner card opens for the partner selected in the table. First click a row of the table so that it is selected, and only then click the button on the Actions tab. If no row is selected, the button does not know which partner the window should open for.
No. The list sums up incoming invoices only. You can find your orders that are not yet invoiced on the list described in the Supplier orders guide.
