In this module you manage Cash register documents. A cash register document records the cash movement of a cash register: every document belongs to a Direction (Incoming or Outgoing), a Cash register and a Currency, and its items hold the individual payments in or out, where needed together with the related invoice, proforma invoice or in-store sale. This guide covers the editor page of a single document: how to create a new document, how to record its items and how to close it.
The statuses of a Cash register document are: Draft (a new document always starts this way), Closed (the cash movement has been posted in the cash register) and Cancelled (a deleted document). The Cancellation status appears in the filter of the document list, but the actions of this page only produce the Draft, Closed and Cancelled statuses. Clicking the Main menu / Cash register / Cash register document / New menu item opens an empty document. You can open an existing document from the Main menu / Cash register / Cash register document / List menu item. At the top of the page you find the Actions, Additional functions and View and layout tabs, below them the header of the document, then the Items tab and the further inner tabs. Further tabs are also visible at the top of the page (Részletek, Történet, E-mail, Csomagkövetés, CRM, Státusz történet, Események); you edit the data of the document on the Részletek tab (Details).
In the header you find the following fields — their detailed description is in the Field descriptions section:
You manage the content of the document on the Items tab, with the buttons above the item table and in the table. The table columns are: Value, Document number, Document date and Comment. Items can only be edited while the document is in Draft status.
In the Actions tab of the item window, the Add button adds the item to the document, while the Close button closes the window without adding the item. The fields of the window:

On closing the system does the following:
Deletion reverses these: the effect of the document is deducted from the cash register balance, the settlements are withdrawn, and the document and its items become Cancelled.
On the Additional functions tab you find extra options that support your daily work: the Sent items button shows the emails previously sent for the document, the New email button (External mail client or Internal mail client) lets you write a new email, the New bank account, New currency and New partner buttons let you add the missing master data in a new tab — so the document stays open — and the New task button creates a task related to the document.
On the View and layout tab, the Interface and behavior button lets you customize how the sheet is displayed. This setting is saved for your user, so it is kept the next time you log in as well.
If the cash movement belongs to an existing invoice or proforma invoice, first fill in the Partner company name field and only then choose the Document type and Document number of the item: the list of documents narrows down by partner, so you find the document to be settled faster. Also check the Direction before closing, because it can no longer be changed after the first save.
The fields in the header and on the tabs of the document, and their meaning:

The fields of the item window are not editable if the document is already closed (or has a higher status).
These fields can no longer be changed after the first save, because the document is tied to the balance of a given cash register. If you chose a wrong value, you can still switch it before saving. For a saved document you have to record a new document instead of the faulty one. The Exchange rate is filled in automatically when you choose the Cash register.
The document must contain at least one item, otherwise the system shows an error message (“at least 1 item must be added to the document!”). Add an item on the Items tab with the New button, then save again. Also check that the required fields (Direction, Cash register, Currency, Billing address, the Value of the item) are filled in. When you modify an already saved document, only the billing address, the comments, the partner and the items change.
The availability of the buttons depends on the status of the document. Adding and deleting items, as well as the Close and Delete buttons, are only active for a document in Draft status; the fields of the item window cannot be edited after closing. The final PDF, the CSV and sending email require a closed document, while the PDF preview and XLSX can already be used after saving. A closed document cannot be edited; if it is faulty, you have to delete it and record it again.
The system carries out deletion only for a Closed document; otherwise it shows the error message “Documents can only be deleted in closed status!”. On this page the Delete button is active in draft status, so you can delete a closed document from the document list. After deletion the document becomes Cancelled and cannot be restored. The effect of the document is deducted from the cash register balance and the settlements are withdrawn.
Save only records the data: the document stays in Draft status, the cash register balance does not change, and you can return to it at any time. Close finalizes the document, changes the cash register balance, records the Opening value and the Closing value, and creates the settlement of the related documents. Only a document in Draft status can be closed, otherwise the system shows an error message (“Documents can only be closed in open status!”). If you are sure of the data, Save and close does both in a single step.
The list shows the not yet settled documents that belong to the selected Document type and to the partner given in the Partner company name field. Check that you chose the right partner and document type, and that the document has not been settled already. The module only appears under Main menu / Cash register if it is assigned to your user. If it is missing, ask your company administrator to check the module assignment of your user.
