On this sheet you create and edit Quote sent to customer documents. The sheet consists of the header data (document number, status, currency, payment method, validity, partner and addresses), the tabs below it (items, customer and internal comment, settings, related documents, tasks, files, custom fields) and a totals row at the bottom (net value, VAT value, gross value). From a closed quote you can start a customer order, an invoice or a delivery note with the Document management menu.
The possible statuses of the document are: Draft, Closed, Cancellation, Cancelled, Used. On a document that has already been saved, further tabs appear at the top of the sheet (Details, History, E-mail, Package tracking, CRM, Status history, Events); this guide does not describe how they work in detail.
Open a new quote with Main menu / Sales / Quote sent to customer / New. You can open an existing quote in Main menu / Sales / Quote sent to customer / List by selecting the document and clicking the Open button. The screenshots were taken in the Hungarian demo interface.
The fields of the header data:
You manage the items of the document with the button row of the Items tab. The buttons can only be used on a document in Draft status:
On the Properties tab of the new item window enter the data of the item: Item number, Name, Quantity, VAT rate, Net base price, Discount / Surcharge, Net unit price, Gross unit price, Item comment. The panel on the right shows the prices and stock data of the product for information on its Basic data and Other tabs. At the bottom of the window you can see the Net value, VAT value and Gross value of the item; it is worth checking them before saving, because the price fields are interrelated values. On the Warehousing master data tab you can specify the site and, if you use them, the location code and the pallet.
The buttons of the window:
On the Related documents tab you can see which documents were created from the quote and on which document it was used. The text of the rows shows the direction of the link (for example “… was used on document no. …” or “document created from document no. …”).
The first three buttons of the Actions tab take the quote through its statuses. The Close and Delete buttons are active only on a document in Draft status:
On the sheet of an already closed quote the Close and Delete buttons are inactive. Deleting a closed quote and setting it to Used are found among the actions of the list.
On the Additional functions tab you find the Sent items view, the New email button (External mail client or Internal mail client), the New product, New partner and New task buttons, and the opening of the Partner card. New email can only be used on a saved document. On the View and layout tab, the Interface and behavior and Columns settings let you adjust the appearance and the columns of the item table. At the right end of the row of tabs, the CRM link opens the CRM notes related to the document.
Save the quote before you close it or start a new document from it: closing and the Document management actions work from the saved state. If you want to send the quote to the customer right away, choose the Close and download option from the arrow next to the Close button, so you get the final PDF in one step.
The fields of the header data and their meaning:

Marking Quantity as required is an inference based on the numeric check of the field; the window directly indicates that VAT rate and Name are required.
The columns of the table on the Items tab:

At the bottom of the sheet the Net value, VAT value and Gross value totals row shows the total amount of the document in the selected currency.

The Quote sent to customer module only appears under Main menu / Sales if it is assigned to your user. If you cannot see it, ask the system administrator to check the module assignment in your user settings.
Check that all required fields are filled in: Selected payment method, Validity, Partner company name, the partner Billing address and Shipping address, the Billing address and The customer can order it on their storage fields on the Settings tab, and on a new sheet the Currency as well. If saving stops with an error message, read the message, correct the indicated field and try again.
The fields and the item buttons can only be edited on a document in Draft status. A closed quote is final: the Close and Delete buttons are inactive on it as well. If you need to change it, make a copy with the Document management > Cloning option and edit the copy. The Document number, the Status and the Document date can never be edited, and the Currency and the Exchange rate cannot be changed on an existing document.
Save records the data, but the quote stays a Draft, so you can keep editing it. Close finalizes the document, and after that no further modification is possible. If you want to save and close at the same time, use the Save and close option from the arrow next to the Save button.
The CSV, the final PDF, and the Customer orders, Invoicing and Delivery note options are only available for a closed (or further progressed) document. In draft status the PDF preview and the XLSX can be used; if you need the final copy, or want to move on to an order, close the quote first.
Close the quote, then start the order with the Document management > Customer orders option. The system opens the sheet of the new order with the data of the quote; you save and close it. You can follow the created document on the Related documents tab of the quote. The Invoicing and Delivery note options work similarly.
The Used status shows that the quote has already been used and another document was created from it. You can set this status on a closed quote with the mark-as-used action of the list; the Related documents tab then shows on which document it was used. These actions are only available for a saved document. On a new sheet, save the quote first.
