The Delivery note analytics is the statistics page of the outgoing delivery notes. It does not list single documents but summarizes them: it shows how many delivery notes you issued, in what value and weight, to whom, from which products and when. It helps you answer questions such as:
The possible statuses of a delivery note are: Draft, Closed, Cancellation, Cancelled, Used. The statistics count the Closed and Used delivery notes in the value and the number. Drafts and Cancellation/Cancelled documents are left out but you see them in separate indicators (Drafts, Storno ratio). Deleted documents are not counted.
Click Main menu / Transport / Analytics / Delivery note analytics to open the page. On the Search tab you can narrow the data with the Document date field pair, a part of the company name typed into the Partner field and the Employee list, then click the Search button. When you open the page, the period from 1 January of the current year to today is shown. The filter works the same way on every tab. The screenshots are taken from the Hungarian demo interface.
The top strip shows the number and the value of delivery notes for Today, This week, This month, This year and All (independent of the filter). Below it the indicators of the selected period follow: number and value of documents compared with the previous period of the same length (+/- %), average document value, items and quantity, the estimated Weight (kg), the Storno ratio, the Drafts and the Open stock issue. The charts show the monthly value (columns) and number (line) and the split by status. The weight is the quantity of the items multiplied by the gross weight of the products; the Weight coverage shows for what percentage of the items the weight of the product is known.
The TOP3 share is the combined value share of the three biggest partners: above 60 % it turns yellow because it indicates a concentration risk. The Top partners chart ranks by value, the New and returning partners chart shows monthly how many partners appeared for the first time. The Partner ranking table is Pareto-like: the last column gives the cumulative share. The Inactive partners are those who already had a delivery note but have had none for 90+ days; this list does not depend on the period so that you can contact them in time.
The Top products chart and table rank the products by value (with quantity and weight), the Product category split shows the value of the categories, and the Split by warehouse shows from which warehouse the goods were issued. The Invoiced shipping cost is the sum of the shipping cost lines of the delivery notes.
The Ratio of linked documents shows for what percentage of the delivery notes an Order, Goods issue, Transport, Invoice and CMR exists in the same business process. The Lead times table gives the days between the steps (Order → delivery note, Delivery note → invoice, Delivery note → transport) with average and median. The aging column chart of the Uninvoiced delivery notes (0–7, 8–30, 31–90, over 90 days) and the Oldest open documents table help you invoice the closed delivery notes one by one.
The Creation time (weekday x hour) heatmap shows when the delivery notes are created, the colleague table gives the number, value and average value of documents, and the job number and department tables split the traffic by internal cost centres. Where no job number or department is set, the row goes to Unknown.
At the end of the month open the Process tab and go through the Oldest open documents table: start with the delivery notes older than 90 days. Click the document number to open the delivery note, and you can invoice it from there.
The elements of the Search tab and their meaning:
| Field / Element | Required | Description |
|---|---|---|
| Document date (from – to) | The date of issuing the delivery note. By default 1 January of the current year and today. | |
| Partner | A part of the company name of the partner. Left empty, all partners are shown. | |
| Employee | The colleague who issued the delivery note. The Please choose row means all colleagues. | |
| Search button | Reloads the active tab with the given filters. |
The meaning of the main indicators:
| Indicator | What it shows | How it is calculated |
|---|---|---|
| Value | The gross value of the delivery notes. | The amount of the document in the default currency, converted with the exchange rate of the document. |
| Storno ratio | The ratio of cancellation and cancelled documents. | Cancellation and cancelled / (valid + cancellation and cancelled). |
| Open stock issue | Delivery notes waiting for the stock issue. | Among the valid delivery notes, those where the stock issue is still open. |
| TOP3 share | The share of the three biggest partners. | The value of the first three partners as a percentage of the total value. |
| Uninvoiced delivery notes | Closed delivery notes that are not invoiced yet. | Closed status, no invoiced value, and no invoice in the process. |
The menu item appears if both the Shipping summary module and the Delivery note module are assigned to you. If one of them is missing, ask your administrator to check your module assignment.
The weight is an estimate: it can be calculated only for items where the gross weight is set at the product. Look at the Weight coverage value: if it is 50 %, the weight is missing for half of the items and the real total weight is higher. Shipping cost lines (which are not products) are not counted.
The value and the number contain only final delivery notes (Closed or Used), so that the traffic is not exaggerated. Drafts are shown by the Drafts indicator and cancellations by the Storno ratio indicator separately.
The system pairs the invoice with the delivery note through the link of the business process. If you created the invoice independently of the delivery note, without a link, the system cannot see the connection. In that case issue the invoice from the delivery note. On the Ratio of linked documents chart you can see for what percentage of the delivery notes an invoice exists.
